Personal / Travel Assistant Needed

About the Company:

Team Overview:

This role will work for a successful entrepreneur based out of New York City. The role is a work-from-home, on-call position responsible for travel and concierge-related tasks. The role does not include executive assistant or household management work, which are handled by others.

Position Overview:

We are seeking a replacement for a Personal Assistant who was previously performing these duties. The successful candidate will be willing to work 24x7 when the principal is traveling (monitoring flights, changing schedules last minute, and having an “always-on” mentality) and from home during other hours. The position is a hybrid role, located in NYC but working from home. Although rarely required, the person can be available to assist in the household or at the corporate office. There is a close working relationship between this person, the principal, and the NYC House Manager.

Responsibilities

• Double-book restaurant reservations on Thu, Fri, and Sat for the principal
• Event planning for corporate and personal events
• Annual corporate retreat
• Personal and friend-related birthdays, etc. Typically 10-30 people, sometimes local and often destinations
• Travel-related tasks:
• Book all travel for principal
• When traveling (approx. 25% of the time), be on-call (even if the principal is in international time zones) and always “call ahead” for every component of the itinerary. For example, before a driver meets the principal, call ahead to make sure they are on time. Before the principal arrives at the hotel, call ahead to check him in
• Vacation house rentals, and coordinating travel between family and friends
• Purchasing (wardrobe, gifts for friends and family, etc.)

Qualifications

College degree

Required Skills

• 5+ years working as a travel coordinator or concierge for high-end clientele
• Always-on, 24x7 mentality. Will be required to work off hours when principal is traveling or overseas
• Very good with technology. Comfortable communicating via email and Slack, using Google Docs, and spreadsheets
• Financially astute, comfortable with budgeting, using spreadsheets, and assessing costs
• Cost-conscious - spend money wisely and within budget
• Excellent written communication skills
• Self-starter attitude
